Membership Terms and Conditions
Membership Terms and Conditions
At East Coast Fitness, we want to make our membership terms and conditions clear, fair and straightforward. Please take a moment to read the following information before joining.
If you have any questions or need clarification, please contact Graham on 07875 548880.
1. MEMBERSHIP AND AUTOMATIC RENEWAL
All memberships are paid monthly by Direct Debit through GoCardless, unless an alternative payment method has been agreed.
Your membership will begin on the agreed start date and will automatically renew each month until cancelled in accordance with our cancellation policy.
Monthly payments will normally be collected on the agreed payment date each month. It is your responsibility to ensure that sufficient funds are available and that your payment details remain up to date.
Any changes to your membership or requests to cancel must be made directly to East Coast Fitness in accordance with the terms below.
2. MEMBERSHIP CANCELLATION AND 30-DAY NOTICE
We require a minimum of 30 days’ notice to cancel your membership.
To cancel, please contact Graham directly on 07875 548880 or submit your request through the appropriate East Coast Fitness or TeamUp contact channel. Please do not rely on messages sent through social media to cancel your membership.
Your 30-day notice period will begin when we receive your cancellation request. We will confirm your membership end date and any final payment due.
During the notice period, your membership will remain active, and you will continue to have access to the facilities in accordance with your membership benefits, provided your account is up to date and you comply with our membership terms.
Final payments: Your membership payments will continue during the notice period. Depending on your billing date, a final payment may fall due during this period. Any final payment will be calculated in accordance with your membership agreement and the applicable billing schedule.
Your membership will end on the confirmed expiry date. No further recurring membership payments will be due after this date, provided all outstanding amounts have been settled.
Direct Debit cancellations: Cancelling your Direct Debit directly with your bank or GoCardless does not constitute cancellation of your East Coast Fitness membership. You must still provide the required 30 days’ notice. Any outstanding payments that are properly due under your membership agreement will remain payable. If a payment cannot be collected, we may contact you to arrange an alternative payment method.
Please contact us if you experience difficulties making a payment so that we can discuss the available options.
3. MEMBERSHIP UPGRADES AND DOWNGRADES
You can request to upgrade or downgrade your membership, subject to the available membership options.
- Upgrades: These may take effect immediately or from an agreed date. Any additional payment or adjustment will be confirmed before the change takes effect.
- Downgrades: These will normally take effect from your next payment date, unless otherwise agreed.
To request a change through TeamUp:
- Log in to your GoTeamUp account at www.goteamup.com.
- Open the menu and select Memberships.
- Select your current membership and open its details.
- Choose the available upgrade or change option.
- Select your preferred membership and follow the instructions to complete the change.
If you cannot see the relevant option, please contact Graham for assistance.
4. MEMBERSHIP HOLDS AND FREEZES
Members may request to freeze their membership for a minimum of 30 days and a maximum of 90 days in any calendar year, subject to approval by East Coast Fitness.
Requests must be made before the requested freeze start date. Freezes cannot normally be applied retrospectively.
Payments already collected before an approved freeze will not be refunded. Any changes to your payment schedule, membership end date or access during the freeze will be confirmed when the freeze is agreed.
Your membership payments will resume in accordance with the agreed arrangements when the freeze period ends.
If you need a freeze for medical or exceptional personal reasons, please contact Graham to discuss your circumstances.
5. UNUSED SESSIONS AND BOOKINGS
Memberships provide access to the sessions or facilities included in your chosen plan.
Unused sessions do not automatically carry forward into the next billing period. Where appropriate, members may be able to make up missed sessions by attending additional sessions, subject to availability, booking requirements and the terms of their membership.
All sessions must be booked through the East Coast Fitness TeamUp app where required. Members are responsible for managing their own bookings and ensuring that they attend the sessions they have reserved.
Please cancel bookings you can no longer attend so that spaces can be made available to other members.
6. REFUNDS AND PAYMENT ISSUES
Membership fees are generally non-refundable for unused sessions or periods when you choose not to attend.
Cancellation of your membership does not automatically entitle you to a refund of payments already collected. However, where a refund is required by law, where a payment has been taken in error, or where East Coast Fitness agrees that a refund is appropriate, the relevant refund will be arranged.
If you believe a payment has been taken incorrectly, please contact Graham so that we can investigate.
If a payment fails or your Direct Debit is cancelled, please contact us promptly to arrange payment of any outstanding amount that is properly due.
Nothing in these terms affects your statutory consumer rights.
7. CHILDREN’S POLICY
East Coast Fitness welcomes families. To help maintain a safe and comfortable environment for everyone, the following rules apply when children accompany members:
- Children must be able to sit safely to the side of the workout area without supervision from our coaches.
- Parents and guardians remain responsible for supervising their children at all times.
- Any disruptive behaviour must be addressed promptly by the parent or guardian.
- Children must not use gym equipment unless they are specifically authorised to participate in an appropriate session.
- Parents and guardians must clean up after their children, including any snacks brought into the facility.
We offer an Under-16s Membership for £10 per month. Under-16s must be accompanied by a participating adult at all sessions and must follow the instructions of the coach and all applicable safety rules.
Please speak to Graham before bringing children to the gym if you are unsure whether the arrangements are suitable for your session.
8. SAFETY AND MEMBER CONDUCT
The safety and wellbeing of our members and staff are extremely important.
East Coast Fitness reserves the right to modify, scale or stop an exercise or training session if a coach believes that continuing would be unsafe.
Members must follow reasonable instructions from coaches, use equipment responsibly and treat other members and staff with respect.
We reserve the right to restrict access or suspend a member while investigating serious safety concerns, inappropriate behaviour, misuse of equipment, non-payment or a breach of these terms.
Where East Coast Fitness decides to terminate a membership, we will communicate the decision and any applicable arrangements for outstanding payments, access and refunds. Any termination and related charges or refunds will be handled in accordance with the membership agreement and applicable law.
9. GYM ACCESS AND BOOKING CAPACITY
Members must book gym access through the East Coast Fitness TeamUp app where required.
Gym access is subject to availability and a maximum occupancy of four people at any one time. Members must book in advance and should not attend without a confirmed booking where booking is required.
Personal training sessions and other scheduled activities may affect gym availability. Members must respect the booking system and any instructions provided by East Coast Fitness staff.
Please cancel your booking if you are unable to attend so another member can use the space.
10. CHANGES TO THESE TERMS
East Coast Fitness may need to update these terms from time to time to reflect changes to our services, facilities, booking arrangements or legal obligations.
Where a change materially affects your membership, we will communicate the change in advance and explain any action you may need to take. Changes will be implemented in accordance with your membership agreement and applicable law.
By joining East Coast Fitness, you acknowledge that you have had the opportunity to read these terms and understand the membership arrangements applicable to you.
